How to Track Partial Rent Payments Properly
Published by KirayaBook · Updated 21 September 2026
Direct answer
How should a landlord record partial rent payments?
Keep the full rent due as the original charge, add every payment as a separate dated entry, and calculate the remaining pending amount after each payment.
Keep the charge and payments separate
Do not replace the original rent amount with the first payment. The rent due explains what was expected; the payment entries explain what was received. Both are needed for a clear history.
Partial payment example
A ₹15,000 rent charge with two payments should remain visible as three separate records.
| Step | Amount | Balance after entry |
|---|---|---|
| Rent due | ₹15,000 | ₹15,000 pending |
| First payment | ₹10,000 | ₹5,000 pending |
| Second payment | ₹3,000 | ₹2,000 pending |
A simple workflow
Recording only the latest payment loses the earlier transaction. Changing the rent charge to match money received also makes it impossible to see what is still due.
- Create the monthly rent charge once.
- Add each payment with its actual date and payment mode.
- Recalculate the balance after every payment.
- Keep receipts or references connected to the matching payment.
- Follow up using the remaining balance, not the original rent amount.
